Refund Policy for VPCC Event Registrations

Overview

The Valley Preferred Cycling Center (VPCC) aims to offer high-quality events and a positive experience for all participants. This refund policy ensures fairness, clarity, and consistency for attendees while allowing the VPCC to plan responsibly.

Refund Eligibility

  • Full Refund (100%) — Up to 8 days before the event Attendees may cancel their registration for any reason and receive a full refund if the request is submitted at least 8 days before the event date.
  • Partial Refund (50%) — 4–7 days before the event. Cancellations made within this window qualify for a 50% refund to help cover non-refundable event costs already incurred.
  • No Refund — 3 days or fewer before the event. Due to commitments to venues, vendors, and materials, cancellations within 3 days of the event are not eligible for a refund.

No-Show Policy

  • Registered participants who do not check in or participate at the scheduled event time are considered no-shows. No-shows are not eligible for refunds, credits, transfers, or substitutions, as event resources and costs have already been allocated.

Transfers and Substitutions

  • Registration Transfer If an attendee can no longer participate, they may transfer their registration to another person at no cost up to 48 hours before the event.
  • Event Transfer When available, attendees may request to move their registration to a future VPCC event instead of receiving a refund. Approval depends on event capacity and timing.

Event Cancellations or Changes by the VPCC

  • If the VPCC cancels the event, all registered participants will receive a full refund or may choose to transfer their registration to a rescheduled date.
  • If the VPCC reschedules the event, attendees may request a full refund if the new date does not work for them.

How to Request a Refund or Transfer

All refund or transfer requests must be submitted in writing to info@thevelodrome.com and must include:

  • Attendee name
  • Event name and date
  • Order/registration number
  • Whether you are requesting a refund, transfer, or substitution

Refunds will be processed within 7–10 business days once approved.

Non-Refundable Items

  • Processing fees, membership dues, or add-on purchases (e.g., merchandise, optional workshops) are non-refundable unless the VPCC cancels the event or the add-on itself.
